Frequently Asked Questions
- Subtract clock-in time from clock-out time, then subtract break minutes. Example: Clock-in 8:00 AM, clock-out 5:00 PM, 30 min break = 8.5 hours worked. Convert to decimal by dividing minutes by 60.
- Overtime is typically any time worked beyond 8 hours per day or 40 hours per week. Daily overtime = max(0, daily hours โ 8). Weekly overtime = max(0, total weekly hours โ 40).
- Time-and-a-half pay rate = regular hourly rate ร 1.5. If you earn $20/hr, overtime hours pay $30/hr. Some jurisdictions use double-time (ร2) beyond 12 hours/day.
- Add up all clock-in to clock-out intervals in minutes, subtract break minutes, then convert: divide total minutes by 60 for hours, remainder is extra minutes. Example: 510 minutes = 8 hours 30 minutes.
- For each day: Hours = (Clock-out โ Clock-in) โ Break time. Enter times in 24-hour format for accuracy. Convert break minutes to fractions of an hour for decimal payroll (e.g., 30 min = 0.5 hr).
- Sum all daily hours from Monday through Sunday (or your work week). Standard full-time is 40 hours per week. Hours above 40 are overtime in most US jurisdictions.
- Payable hours = regular hours + (overtime hours ร 1.5 multiplier equivalent). Some employers round to the nearest quarter-hour (6 minutes). Gross pay = regular hours ร rate + overtime hours ร 1.5 ร rate.
- For payroll you need: clock-in and clock-out times for each day, break durations, hourly rate, and overtime rules. This calculator provides regular hours, overtime hours, and gross pay estimate when you enter an hourly rate.
- Night shift hours that cross midnight are calculated the same way โ the end time next day is simply more than 24 hours from midnight. Enter times in 24-hour format: e.g., start 22:00, end 06:00 = 8 hours.
- Convert both times to minutes from midnight, subtract, and divide by 60. If the result is negative, add 1440 (minutes in a day) to account for midnight crossings. The result in decimal hours can be multiplied directly by an hourly wage.
